How Bambino Montessori Pre-School, Primary & Junior High looks after the information it keeps about pupils, families and staff.

Bambino Montessori Pre-School, Primary & Junior High, New Achimota, Ga North District (GW-1158-8654), Accra decides what information it keeps about its pupils, their families and its staff, and why — it is the "data controller" under the Data Protection Act, 2012 (Act 843). The school keeps its records in SchoolOS, software run on the school's behalf, which uses the information only to provide that service.

About pupils: name, date of birth, gender, nationality, home address, photograph, class, attendance and arrivals and departures, and — when the school records them — health and care details such as allergies, medical notes and any support a pupil needs.

About parents and guardians: name, relationship to the child, phone number, email and home address, occupation, and an ID number where the school uses it to check who is collecting a child.

About staff: name, contact details, role, and the records the school keeps as an employer.

Marks, assessments and report cards.

Homework and examination answers, and the examination room's notes.

Bills, payments and receipts.

Records of incidents and safeguarding concerns.

Bus routes and which children ride them.

Library loans.

Store orders, and the photograph taken when an item is handed over.

To teach and care for pupils and keep them safe; to know who may collect each child; to keep in touch with families; to run the school, including its fees; and to do what the law requires of a school.

The school does not sell personal information, and does not use it for advertising.

Inside the school, each member of staff sees what their role needs: a teacher sees their own classes, the office sees the whole school. Parents and guardians see only their own children. Former pupils' records are open only to the school office.

Outside the school, information goes only where it must: to the people who provide SchoolOS and its hosting, who keep it for the school and nobody else; to the services that deliver the school's text messages and emails; and to public authorities when the law requires it.

A pupil's record is kept for as long as they are at the school, and for 20 years after the day they leave, so the school can confirm their attendance, results and conduct to them, to other schools and to employers.

At the end of that time the record is reviewed, and what no longer needs to be kept is deleted or made anonymous, as section 24 of the Data Protection Act requires.

You can ask to see the information the school keeps about you and your child, and to have anything wrong corrected. You can ask how it is used, and object to a use you think is unfair.

Everyone signs in with their own account, and each account opens only what its role needs. Changes to records are logged with who made them and when. A pupil's record cannot be deleted once they are admitted, so it cannot be lost by mistake.

The school's website shows photographs of school life. If you would rather a photograph of your child were not published, tell the school office and it will be taken down.

The website does not use advertising or tracking cookies. It sets cookies only to keep you signed in to the portal, and the school store remembers your basket on your own device.

The school updates this notice when what it keeps, or why, changes; the version on this page is the one that applies.
